Cancellation Policy
At Moto Himalaya Riders, we understand that travel plans can sometimes change due to unexpected circumstances. We aim to provide a fair, transparent and straightforward cancellation process for all our motorcycle tours, Himalayan expeditions and personalised adventure packages.
This Cancellation Policy explains the procedures, conditions and considerations applicable when a customer requests to cancel, reschedule or modify a confirmed tour booking.
We encourage all participants to carefully review this policy before confirming their motorcycle adventure.
1. Booking Confirmation and Advance Payments
A motorcycle tour booking is considered confirmed only after the required advance payment has been received and written confirmation has been issued by Moto Himalaya Riders.
Advance payments help us secure accommodation, motorcycles, permits, transportation, support arrangements and other essential services required for the expedition.
The advance payment amount, remaining balance and applicable payment deadlines will be communicated during the booking process.
2. Cancellation by the Customer
If you wish to cancel a confirmed motorcycle tour, you must notify Moto Himalaya Riders in writing through our official contact details.
Your cancellation request should include:
Full name of the booking holder
Booking reference or confirmation details
Name of the selected motorcycle tour
Scheduled departure date
Reason for cancellation, where applicable
The effective cancellation date will be the date on which we receive your written request.
Any applicable cancellation charges and refund eligibility will be determined according to the terms communicated at the time of booking.
3. Cancellation Charges and Refund Eligibility
Cancellation charges may apply depending on how far in advance the booking is cancelled and which services have already been arranged.
Refund eligibility may depend on:
The number of days remaining before departure
Advance payments made to accommodation providers
Motorcycle reservations and related arrangements
Government permits and administrative expenses
Transportation and logistical commitments
Other non-refundable services confirmed for the expedition
Important: The exact cancellation charges, refund percentages and applicable deadlines will be specified in your booking confirmation or agreed tour terms.
Any refund will be calculated after considering the applicable cancellation conditions and eligible deductions.
4. Non-Refundable Booking Expenses
Certain services arranged in advance may be non-refundable once confirmed with third-party suppliers.
These may include:
Government-issued permits and processing fees
Non-refundable hotel reservations
Motorcycle rental reservation charges
Transportation bookings
Special accommodation arrangements
Customised travel services
Other non-recoverable expenses incurred for the confirmed tour
Where applicable, these costs may be deducted from the refundable amount in accordance with the agreed booking terms and applicable law.
5. Cancellation of Personalised Tour Packages
Personalised motorcycle expeditions are designed around individual preferences, travel dates, destinations, accommodation requirements and riding arrangements.
Because these tours may involve customised reservations and advance logistical planning, cancellation conditions can differ from those of standard group expeditions.
Any special cancellation terms applicable to a personalised package will be communicated before booking confirmation.
Refunds for customised services will depend on the agreed terms and the recoverability of arrangements already made.
6. Tour Date Changes and Rescheduling
We understand that customers may occasionally need to change their travel dates.
Requests to reschedule a confirmed motorcycle tour must be submitted in writing and will be considered based on:
Availability of alternative departure dates
Motorcycle and accommodation availability
Existing reservations and supplier conditions
Seasonal travel restrictions
Additional costs associated with the requested changes
Rescheduling is not automatically guaranteed.
Any applicable date-change charges or price differences will be communicated before the revised arrangements are confirmed.
7. Cancellation by Moto Himalaya Riders
In exceptional circumstances, Moto Himalaya Riders may need to cancel or postpone an expedition due to operational, safety or other unavoidable reasons.
Such circumstances may include:
Severe weather conditions
Landslides, snowfall or road closures
Natural disasters
Government restrictions
Security concerns
Insufficient operational resources
Other circumstances affecting the safe operation of the tour
Where a tour is cancelled by Moto Himalaya Riders, we will inform affected participants as soon as reasonably possible.
Depending on the circumstances and applicable booking terms, customers may be offered an alternative departure date, suitable replacement arrangements or an eligible refund.
Refund rights arising under applicable law will be respected.
8. Weather Conditions and Force Majeure
Motorcycle adventures in the Himalayan region are subject to unpredictable weather, challenging terrain and changing road conditions.
Certain circumstances beyond our reasonable control may require the modification, postponement or cancellation of an expedition.
These may include extreme snowfall, flooding, landslides, natural disasters, political disturbances, government restrictions or other unavoidable events.
In such situations, Moto Himalaya Riders will make reasonable efforts to provide suitable alternatives.
Refunds, credits or additional expenses will be addressed according to the applicable booking terms, supplier conditions and relevant legal requirements.
9. Early Departure or Unused Tour Services
If a participant voluntarily leaves an expedition before its scheduled completion, refunds for unused services are not automatically guaranteed.
This may include unused accommodation, meals, transportation, motorcycle arrangements, sightseeing activities or other prepaid services.
Any refund entitlement will depend on the circumstances, applicable booking conditions and relevant law.
Participants are encouraged to inform the tour leader immediately if they need to discontinue their journey.
10. Cancellation Due to Medical or Personal Reasons
If a participant is unable to travel because of illness, injury, family emergencies or other personal circumstances, the standard cancellation conditions applicable to their booking may apply.
We recommend purchasing suitable travel insurance that includes trip cancellation and interruption coverage.
Where appropriate, participants may be asked to provide supporting documentation for insurance or cancellation-related requests.
11. No-Show Policy
A participant who fails to arrive at the designated departure location on the scheduled date without prior notification may be treated as a no-show.
Refunds for missed departures or unused services are not automatically available and will be subject to the applicable booking terms and legal requirements.
Participants are responsible for making suitable travel arrangements to reach the designated meeting point on time.
12. Refund Processing
Where a refund is approved, Moto Himalaya Riders will communicate the eligible refund amount and expected processing timeline.
Refunds will ordinarily be processed through the original payment method where feasible, subject to payment provider requirements and applicable regulations.
The time required for the refunded amount to appear in your account may vary depending on the bank or payment service provider.
Any applicable deductions will be explained as part of the refund confirmation.
13. Group Booking Cancellations
For private groups, corporate expeditions or group motorcycle tours, cancellation conditions may vary depending on the number of participants and services reserved.
Group bookings may involve special accommodation rates, motorcycle allocations and transportation arrangements.
Any specific group cancellation terms will be communicated before the booking is confirmed.
14. Changes to This Cancellation Policy
Moto Himalaya Riders reserves the right to update or modify this Cancellation Policy when necessary to reflect changes in operational requirements, booking procedures or applicable laws.
Any updates will be published on our website.
For existing confirmed bookings, the agreed cancellation conditions will continue to apply unless changes are mutually agreed upon or required by applicable law.
